The problem
Year-end arrives and the finance team stops doing finance to assemble evidence — invoices, approvals, authorisations, reconciliations — pulled by hand out of four systems and an inbox.
The work is not difficult. It is just that nobody recorded it as it happened, so it has to be reconstructed months later from whatever survived.
How it works
- Every action your systems take is logged as it happensWhat was read, what was matched, what was held, who approved it and when.
- Documents are filed against the record they belong toThe invoice with its purchase order, its approval and its posting reference — not in four places.
- The log is immutable and timestampedEntries are added, never edited. What it says in March is what it says in November.
- A sampling request is answered from the logGive it a reference or a date range and the evidence pack assembles from what is already recorded.
- The pack exports in a form an auditor acceptsDocuments and the trail that connects them, together.
What you get
- A continuous action log — immutable, timestamped, and queryable by reference or date
- Evidence packs on demand — assembled from the log rather than reconstructed
- Linked documents — invoice, order, approval and posting held against one record
- An export in a form your auditor can work from
- Portal access — every run, every exception, and the monthly statement
What we need from you
- Read access to the systems whose actions you want recorded
- A sample audit request from a previous year, so we build against a real one
- Your retention period — how long the log must be kept
- A named person for sign-off — usually whoever faces the auditor
What stays with your people
- Every accounting judgment the evidence supports
- What you disclose and how you present it
- The relationship with your auditor
- Deciding what the retention period should be
This system is read-only. It records what happened; it does not change it.
Timeline
- Day 1–2
- Audit and scope. We look at the real files and agree what the system will and will not do, in writing.
- Day 3–10
- Build. Connected read-only to your own data, with the rules agreed as we go.
- Day 11–13
- You watch it run. Against live data, still read-only, and you sign off what it produces.
- Day 14
- Live. Write scope opens only where you have agreed it.
Works with
It is built into the finance software you already run. No migration, and no vendor switch.
